TMCEC COVID-19 Protocols for Live, In-person Events

The safety of participants, volunteers, and staff is a top priority at TMCEC’s live, in-person events this Academic Year 2022.

Here, you will find out what TMCEC is doing—and what you can do—to assist us in promoting a safe and responsible in-person learning environment. 

We understand that things are changing rapidly and will make every effort to keep this page updated as new information arises. Participants and staff must comply with all safety protocols required by host hotels and venues, regardless of what is outlined below. 


In-Person Precautions

We encourage all registrants to follow the Centers for Disease Control and Prevention (CDC) guidance and all posted instructions while attending TMCEC events to ensure the health and safety of our participants, volunteers, and staff.

It is strongly recommended that all participants be fully vaccinated prior to attending one of our in-person live events. Vaccines not only help stop the spread; they have proven effective in eliminating the most serious COVID health risks for most people.


Participants should not attend an in-person event if they have any indication of COVID-19 symptoms, test positive for COVID-19, or have been exposed to someone with symptoms or someone suspected or confirmed to have COVID-19. If it is possible to transfer your registration, we will do so for no additional fee.


How In-person Events Will Be Different

Working with our hotel and venue partners, here is an overview of what TMCEC may do differently at our live, in-person conferences:

  • Staffing improvements at hotel venues combined with changes related to COVID-19 precautions and health guidelines by the CDC mean that, at least for now, TMCEC can begin accommodating more people for in-person events than we have at any other time this academic year. Because of these improvements, as the need arises, TMCEC will make efforts to increase capacity at future in-person events, working with hotels and basing decisions on individual levels of the locale.
  • Hand sanitizer and masks will be available on-site.
  • Meals may be boxed or served by a hotel attendant and eaten in the same ballroom seats as during the presentations.
  • All sessions may be in general session with no break-out sessions. This allows participants to have the same seat for the entire event.
  • As a reminder, effective September 1, 2020, TMCEC no longer offers printed course materials for Regional Judges Programs. Course materials will be available on the TMCEC Conference App and the OLC. The TMCEC Conference App is available on Google Play and the App Store. Login with your TMCEC credentials and conveniently access all the seminar files from your smart phone/tablet.

Personal Accountability Commitment

By registering for a live, in-person event, you agree to follow all safety protocols requested by TMCEC and by the conference venue at the time of the event. You acknowledge there is an inherent risk of exposure to COVID-19 in any public space where people gather. We encourage all registrants to follow the Centers for Disease Control and Prevention (CDC) guidance and all posted instructions while attending TMCEC events to ensure the health and safety of our participants, volunteers, and staff.
